Expensely vs QuickBooks: which is right for you?
Comparison pages on the internet have a problem: they're written by the company being compared, and they always conclude that the writer is the best choice. This is also a comparison page written by Expensely, so it has the same bias. We've tried to compensate by being specific about who should pick QuickBooks and being honest about the trade-offs. If at the end of this page you decide QuickBooks is right for you — that's a fine outcome. Both tools are professionally built; the right call depends on your specific job.
Who QuickBooks Online is
QuickBooks Online is Intuit’s flagship small-business accounting product. It is full double-entry accounting software — chart of accounts, journal entries, accounts receivable and payable, payroll integration, US tax filing. Plans range from Simple Start at $30/mo up to Advanced at $200+/mo. It is the most widely-used SMB accounting product in North America, and most US accountants speak QuickBooks fluently.
Best-for callout
Pick Expensely if: you want fast OCR, voice entry, AI insights, multi-currency and a tool that 2–50 person teams can adopt without an accountant. You don’t need payroll or US tax filing inside the tool.

Pricing
Expensely is dramatically cheaper for teams. Solo at $4.99/mo vs QuickBooks Simple Start at $30/mo for one user. Expensely Team at $14.99/mo includes 5 seats; QuickBooks Essentials starts at $60/mo for 3 users. If you need full accounting, the price gap reflects scope difference — Expensely is not trying to be accounting software.

Migrating from QuickBooks
Export your QuickBooks transaction history as CSV (Reports → Custom Reports → Transaction Detail by Account → Export to Excel). Import to Expensely via Settings → Import → CSV. We auto-map your QuickBooks categories to Expensely categories; you confirm in one click. Vendors, dates and amounts come over cleanly. We do not import your chart of accounts (we don’t have one) — but that’s usually the point of switching. Team plan customers get a white-glove migration.
